Frequently Asked Questions
Do I need a receipt to log a purchase?
No. You can log a purchase manually with just a vendor and total amount — useful if you're working from memory, the receipt's lost, or you just want to log the big-ticket item quickly without itemizing everything. Receipt-less purchases are a normal part of how Backscene works, not a workaround.
The AI got something wrong on my receipt — what do I do?
You'll always see a review step before a purchase is created, with the receipt image next to the parsed fields so you can check and correct anything before confirming. Nothing submits automatically — you're always the final check.
Can I edit a purchase after I've created it?
Yes, from the purchase's detail page, as long as your role allows editing (see Roles & Permissions). You can update any field, add or remove line items, and mark it as reconciled.
What's the difference between a Location and a Scene?
A Location is a physical place shared in your org's Locations Library; on a job you link it via Project Locations. A Scene belongs to one project and is a moment you're capturing; it can optionally point at a project-linked location. Map of all primitives: How projects are structured.
Why can't I see a "create" button on something?
Most likely a role issue. Viewers are read-only everywhere. If you're a Editor user, you can create purchases and items but not Locations, Scenes, or org settings — those require Admin. Check the Roles & Permissions doc for the full breakdown.
Where do I set a budget for my project?
Project Settings → Finance → Project Budget. Location and scene budgets live on Project Locations and scene detail. Full guide: Budgets.
Do Viewers count toward my billing seats?
Viewers are not billed like Admin and Editor seats, but plans still enforce viewer quotas. See Billing & Plans, Plans & Features, and Invites & Seats.
Can the same Location be used across multiple projects?
Yes — that's the point. Locations live in a shared org-level Locations Library specifically so you don't have to re-enter the same place every time you shoot there again.
What is Organization Hub?
Org Hub is where org Admins manage campaigns, location and vendor libraries, Studio bulk reconciliation and the audit ledger, and org settings. Start with Organization Hub. Campaigns need Pro or Studio; Bulk Reconciliation and the Audit Ledger need Studio. Full comparison: Plans & Features.
I found a bug, or have an idea for something we need — where do I send it?
There's a Support link in the footer of every page. Bugs, feature requests, and general feedback all go to the same place, and we read every one.
Is my data shared with other organizations?
No. Your projects, purchases, locations, and all related data are scoped entirely to your organization. Nothing is visible across orgs.
